When Invoice Errors Become Customer Disputes
A homeowner gets an invoice for $1,850. She remembers the technician quoting $1,200 for parts and $400 for labor. She calls to dispute it. Your office pulls the job record — the parts were listed twice because the tech entered them on-site and your office entered them again from the work order.

The Most Common Invoice Data Errors in Trade Services
Duplicate line items: The same part or labor entry appears twice — once entered on-site, once in the office. Common when field and office staff both have access to the same job record.

Systematic Prevention
One place for parts entry: Field techs enter parts consumed; office staff do not duplicate-enter them. Or vice versa — pick a workflow and stick to it.
Current rate tables: Keep your rate table in your billing software current. Any rate change should be updated in the system before the next billing cycle.
Invoice-to-job linking: Make it a required field in your invoicing software. No job ID = no invoice submitted.
Monthly reconciliation: Once a month, spot-check 20 invoices against their corresponding job records. Any pattern in errors points to a process problem to fix.
